Yes, on last march, because it was required.
If the university said that y're already accepted as a student in master or doctorate program, I think you don't need to take the exam.
So tough that you had to go in person to take the exam. But now worth it :emoji_grinning:
I am not sure if the university take me as doctoral student, but "doctoral program" is shown on the certificate of acceptance.

Dear all,

Could you please tell me in detail about the procedure to apply for MEXT scholarship through University Recommendation:

1. When is the deadline for the application this year?
2. Is there any way to find out how many slots (to enroll as a research/Phd student) are allocated for each university (each department) each year?
3. After submitting the documents (and along with the MEXT selection process), should we take an interview and the entrance exam or just one of them? (How the interview and the entrance exam will conduct? Are they email-base?)
4. What is the difference between general recommendation and special recommendation and with which one have the most chance (the number of acceptance for each)?
5. What are the PGP(Priority Graduate Program) and G30(General category)?
6. What is the student-exchange agreement?

If i am applying for university recommended can I ask multiple universities if they are going to nominate me. I do know that multiple universities cant nominate you but, my problem is I dont know if a particular university will nominate me. So can i ask multiple universities if they nominate me and if I can get a university to nominate me I will stick to it. But if two universities nominate can i just decline one of the nominations.

Universities will nominate you, only after they’ve excepted you into their program. Depending on the University they may have a certain number of self paying in a certain number of students they nominate. You can ask the program directly in the application process.

Sometimes a professor may accept you, and then the number of accepted people are then chosen among for the number of recommended scholarships that are available. It really depends on the institution and the number of scholarships that they have been allotted by MEXT, however around the same time most universities need to make their decision.

Anyone here applying for the MEXT scholarship through University Recommendation for Fall 2020?

Not sure if I'm allowed to submit the documents to the university's international student division now because the deadline is approaching soon (next friday), because the university states that "applicants must request their academic supervisor to write a letter of acceptance for them and all the documents must reach international student division by January 7, 2020".. and my supervisor haven't told me whether he has written the letter of acceptance for me or not😢

If your supervisor already agreed to accept you, he should be "holding up his end". Each university is different but it is likely that he will send the "write a letter of acceptance " directly to the International Division. You should:
1) contact your prof. to check on this
2) find out the latest day you can send your material. I do not know your situation but if this s a first screening, and you are sending by email as attachments ithe deadline will probably be TIME STAMPED January 7, 2020 JST 17;00 / if it is by post, EMS must arrive on that calendar at the correct office. Make sure you leave a a week or for a cushion cushion. In general, Japanese universities will NOT accept anything after the deadline.


If you do not hear anything from your Prof. before the "deadline" to send your stuff, add a piece of paper entitled "Letter of acceptance", your prof's name etc

and the put "sent directly to international division by prof X.


That is about the best you can do.

I requested my supervisor to write the Letter of Acceptance for me and to submit it to International Division, but he just filled up the Letter of Acceptance and gave it to me (via email).

The deadline for submitting the application documents by email is 29th of November (next Friday).
I just sent my application documents to the International Division today morning (via email) and asked them whether I can send the Letter of Acceptance that my supervisor has filled up for me (or does my supervisor has to submit that on his own). Awaiting their reply now..

Update: The international student office just replied me acknowledging that they have received my documents, and told me that my supervisor has to submit the LoA to them directly before the 7th of January 2020

Yes, that is quite normal, that they would not ask you to resend an email. Actually they probably have a standard format that your supervisor has to fill out.

I am surprised that he odes not know this. I recommend that you forward the email (just their response to your last email showing him what to do) from the international division DIRECTLY to your supervisor CC also to International Division so that each side (Your Prof and International Division) are aware of who they need to contact and how to contact them if necessary.

Great idea, I never thought of CC'ing my supervisor with that email exchange with the office (I emailed him with a screenshot of the conversation I've had with the international student division when requesting him to send the LoA to the international student division, now I think that's a bad idea...)

This was what I written to my supervisor after receiving the reply from the international student division office..
Dear Dr XX,

Thank you for filling up the Letter of Acceptance for me.

Could you please submit the original Letter of Acceptance to the International Student Exchange Division?
I have asked the International Student Exchange Division, and they told me that my academic supervisor has to submit the original Letter of Acceptance to them before the deadline (7th of January 2020).


Thank you for considering my request.

Hi everyone, currently I applying for MEXT University Recommendation for Ph.D. I passed preliminary screening, and an internet interview, the prospective professor has already received my documents, the result from the university will be announced by mid of March.

I am curious about which one more important of GPA in undergraduate or GPA in master or both are important to be considered as MEXT nominate?. Since my GPA in undergraduate just an average but still has a grade "very good" but it less than my master's, my master's GPA over 3.5/4.0. I have good research experiences and plenty of research papers local and international, had a job as a research assistant, I went to study in Japan for months during my master's, got high recommendations from my former supervisor and dean of my previous graduate school.

There is no such thing as one is important over the other. They are going to look at it as a whole but, they will only consider the last 2 years of your college. So if you have been in a masters program for 1.5 years and will graduate May 2020, they will consider those 1.5 years of masters grades and 0.5 years from your undergraduate; basically the last semester of your undergraduate. Dont worry about the GPA, because if you have a B in the American system (Which is mostly a 5 level grading system) you get lower quality points which reduces your GPA. But, in the MEXT conversion scale an A and B have the same 3 quality points, so you wont lose GPA here. The only time it might make a difference is when you are being compared to another applicant. If you and another applicant have similar achievement i.e. you published a lot, did good research, both of you have written great research proposals. Then, they are going to look at your GPA, TOEFL, GRE (If applicable for the program).

I applied for Osaka University but still no notification☹
As for Kyodai, do you know how many slots does it have?

Have you contacted your prospective supervisor / the student section? At least you sould get the result this week, since each University have to submitted their list of candidates to MEXT in 16-26 this March. I think you can find the slots info and when the result would be announced from the application guidelines. Good luck!.

I wrote to my Proffesor and he said the results will be announced in June. Does it mean that I passed the primary screening and already recommended to MEXT? I am really confused.
School asked for any additional documents from you after they notified you?

Yes, your university already recommended you.
The next screening is by MEXT which is usually nothing but a formality. They only used to reject you if there were some discrepancies or mistakes in your application. But apparently last year a few of the recommended people were rejected due to budget cuts, so anything can happen. But still, you have pretty good chance to get the scholarship.

I can't answer your question regarding you passed the screeing in the University or not. The odd thing was why student section or your prospective professor didn't send you a formal email that announced you passed the uni screening?. Did you checked your spam emails? Or make sure again ask them until you get yes or no answer. In my uni they would only send announcement to the who passed the screening (please check your application guidelines). But it would be different case if from the beginning your uni only said you'll get the result in June (you don't need to know uni screening result). I really sorry I don't intend make you anxious, but get a clear answer is better.

Yeah, I am thinking the same way, why the student section has not sent me an email?. But at least, my Proffesor would know ıf I am rejected, right? I am still trying to think in a positive way.
I dont want to bother them anymore so I am hesitating to ask them again.
